New Features Recap

 Did you know that we now have online help? You will find it on the Gear menu

Most of the data for these new features will automatically upload to Gaidge, but others need to be added and mapped. For example, emergency detail and start sub-categories must be mapped for all practice management systems, and Active statuses must be mapped for Dolphin practices.

Email Notifications

You can now receive regular email updates on the status of your practice from Gaidge.  This feature will need setup to determine which emails you would like to receive and on what day(s). This may be done on the User Profile page, see Setting Up Notifications

Virtual Appointments

You can now track virtual visits on Gaidge. We have added the following:

Virtual Exams – Adult & Child
Virtual Observation and Between Phases checks
Virtual Aligner and Appliance checks
Virtual Triage
Virtual Retention checks
And for Origin of Start – Start from Virtual

For Orthotrac these are all counted using procedure codes. In Dolphin Management, Appointment Types are used for all but the Origin of Start which is a custom field. Cloud9 uses either Appointment Types or Transaction Types See accompanying documentation for your practice management system.

For most of our users, the procedure code or appointment code will need to be added to the practice management system and then mapped.  If you’ve already implemented these, you are a step ahead!

New Exam and Start Categories

The additional exam and start sub-types have been added to Gaidge.  Treatment starts can now be tracked by age, appliance versus aligner, plus you can separate Medicaid exams and starts. This will help you quantify how Medicaid affects your business.  These additions are currently displayed on the Monthly Summary and in the future will be included on the Starts and Exam Charts.

For exams, we have added Medicaid Exams as a subcategory of Child Exams. In addition to the number of exams, you can view your Medicaid case acceptance separately.  

Treatment Starts: in addition to the main start categories: Full, Phase 1, Phase 2, Aligner, Limited and Other, we have added the following subcategories:

Full - Full Adult, Full Child, Full Medicaid
Phase 1 - Phase1 Aligner, Phase1 Appliance, Phase1 Medicaid
Phase 2 - Phase2 Aligner, Phase2 Appliance, Phase2 Medicaid
Aligner - Aligner Adult, Aligner Child
Limited - Limited Adult Aligner, Limited Adult Appliance, Limited Child Aligner, Limited Child Appliance
Other

The subcategories are indented in the Gaidge Summary image above. 

New and Updated Gaidge Reports

Exams & Starts Tab: Treatment Starts Detail

Same Day Starts are now visible – exam date and start/band date must be equal in your practice management system.

Observation Tab: Pre-Treatment Observation and Between Phases

We have added data for our observation and between phases graphs.  We now differentiate age groups (<10, 11-14, 15-18), plus the count of those not seen in past 12 or more months.  

Schedule Tab: Repair Detail, Over ECD and Active Patients with No Appointment

We now track repairs not only by the number of extra visits, but also count the number of wire problems, broken appliances, and bond problems.

For those patients who are beyond their completion date, we have added several new data points: length beyond ECD (1-59 days, 60-119, 120-179, and over 180 days) 

We have added a graph for Active Patients with no appointment. This chart shows the number of Active Patients who DO NOT have a future appointment scheduled for each month over period of time. Below the breakdown of patients by treatment type is a graph that shows the Percentage of All Active patients with no appointment scheduled.

Treatment Efficiency Enhancements

We have added Estimated vs Actual Months for the selected date range. 

Billing

You can now access your invoices by hovering over your name in the top right corner and using the drop down menu to 'Billing."
