GCM Analytics has charts and detail sections for various key practice indicators from the Gaidge Consult Manager. There are three chevrons that divide the charts into the following categories: Conversions, Production and Pipeline. All reports include a chart and patient details.

 Access to these reports is controlled under  Roles in Practice Management. See Adding & Changing Users and Modifying Roles under Gaidge Analytics help.

Conversions

There are four reports under Conversions

  • Exam outcomes
  • Tx Accepted by Treatment Coordinator
  • Tx Accepted by Doctor
  • Patient Status at Tx Acceptance

Exam Outcomes

Here we track what happened at the completion of each new patient or observation exam. The Totals area at the right has the total numbers for the entire date range. Below each bar graph and next to the month in the detail pop-up is the total number of exams completed for each month.

The Exam Outcomes chart has the following groups:

  • Tx Accepted - Patient signed a contract within the date range.
  • Pending - patient has not yet signed a contract. This includes Referred to Specialist, Scheduled for Consult, Records Scheduled, Tx Recommended (but NOT yet accepted)
  • No Tx Indicated - no treatment recommended.
  • Observation - patient was not ready to start and put in observation.
  • Decline Tx - treatment was recommended, patient declined.


The next two charts compare acceptance rates for treatment coordinators and doctors.

Rules:

  • Tx Accepted is defined by a signed contract.
  • Credit goes to the doctor and treatment coordinator assigned to the patient at the time of the contract signing.  

Tx Accepted by Treatment Coordinator

We are reporting recommended treatment acceptance rate for each treatment coordinator.

Formula:

Tx Accepted by TC = (# Signed contracts by TC / # tx recommended by this TC) *100%

Tx Accepted by TC is based the number of patients a treatment coordinator saw that were recommended for treatment and signed a contract. If they recommended treatment to 100 patients and 50 accepted, then their conversion rate is 50/100 = 50%. If another TC, saw 100 patients and recommended treatment and 75 accepted then their conversion rate is 75%. 

We are not comparing the number each TC converted to the total patients seen in the practice, we compare how many each treatment coordinator saw that had treatment recommended to how many closed.  

Tx Accepted by Doctor

We are reporting recommended treatment acceptance rate for each doctor.

Formula:

Tx Accepted by Dr = (# Signed contract by Dr/ # tx recommended by this Dr) *100%. 

These numbers are calculated the same as the above chart except by doctor rather than treatment coordinator.

Patient Status at Tx Acceptance

The start origin of patients who have accepted treatment and signed a contract. There are side by side bar graphs for the total number of signed contracts and 3 start origin categories:

  • New Patient - a new patient who accepted treatment and signed their contract at their appointment.
  • Pending - patient completed appointment and signed contract on a later date.
  • Observation - an observation patient who signed a contract.

Note: A patient that goes to pending but still signs the same day as their new patient appointment is counted as a start from new patient.

Production

There are four reports under Production

  • Contracts signed
  • Tx Types
  • Add-Ons
  • Same day start

Contracts signed

The number of contracts signed versus the number sent but unsigned.

Formula: 

  • signed contracts / total contracts sent
  • unsigned contracts/ total contracts sent

Tx Types

All treatment starts (contracts signed) categorized by treatment type:   Full Treatment-Aligner Full Tx-Phase I/II-Limited/Other

Add-Ons

The top 5 Add-Ons included in contracts with the percentage of total contracts by type. For example if there are 30 Retainers for Life added to 100 contracts, that is 30/100 =30%

Same Day Starts

The number of Same Day Starts versus the number of signed contracts. Same day start refers when patient completes the new patient appointment, and the treatment starts on the same day. The start date comes from the start appointment date in GCM and the new patient date from the new patient appt date.

Formula:  Same Day Starts/Signed Contracts * 100
